Currently available¬†volunteer staff positions are listed below. Scroll under the list for detailed descriptions of duties and estimated time commitments for each. All require appearance at one or more planning meetings, and payment of a $35 registration fee. Our meeting schedule may be found on this website’s homepage.

  • Discount Card for Hyatt Regency SFO restaurants and gift shop during the convention
  • Staff T-Shirt (if properly registered prior to 8/31/15)

  • Job experience suitable for inclusion on a resume for employment (No, really!)

BUSINESS SERVICES DIVISION

 

Charity Staff

Assist Department Manager to carry out Charity events, including, but not limited to the following:

1. Develop and maintain list of potential donors.
2. Write and send solicitation letters to potential donors.
3. Coordinate with Marketplace, Gallery, and Event Services Managers to solicit donations from vendors, artists, and guests.
4. Coordinate with financial services staff to get cashier or be trained in money handling.
5. Coordinate with social media/ website team to publicize charity events.
6. Maintain list of donated items including donor, contact information, item description, minimum bid, actual value, and sales price.
7. Write thank-you letters to donors acknowledging their donation.
8. Organize charity events at Convolution, such as games, auctions, a casino, or concert.
9. Coordinate with representative at charity organization.
10. Other duties as assigned by the Division Director and Department Manager.
Pre-Convention Commitment: Minor work for 3-4 months prior to convention to solicit donations and attend mandatory pre-convention training meeting.
At-Convention Commitment: 3-4 hours per day organizing charity events, or up to 8 hours if silent auction is held.

 

Hotel Liaison Staff

Assist Department Manager to carry out Hotel activities, including, but not limited to the following:

1. Maintain communications with Hyatt staff throughout the year to establish hotel reservation link, coordinate pre-convention meeting rooms, book reservations for convention rooms (guests of honor and business rooms), and submit BEO and catering forms.
2. Coordinate with Department Managers to fill out BEO forms.
3. Coordinate catering order with Event Services.
4. Work with party manager to assign party suites.
5. Attend pre-event meeting with Hyatt staff.
6. Ensure that convention rooms are set up per BEOs and adjusted as needed to respond to convention needs.
7. Other duties as assigned by the Division Director and Department Manager.
Pre-Convention Commitment: Ongoing communication with Hyatt staff throughout the year; typically monthly for most of year and weekly for 2 months prior to convention, and attend mandatory pre-convention training meeting.
At-Convention Commitment: Attend pre-event meeting on Thursday afternoon. Throughout day Friday through Sunday as needed.

 

Fan TableCoordinator

1. Review and approve department budget with Division Director.
2. Work with Social Media and Website staff to post and publicize fan table request form.
3. Assign fan table locations.
4. Update fan table rules form, as needed.
5. Check in all fan groups on Friday to review rules.
6. Monitor fan tables to ensure that fan groups are complying with rules and have all they need.
7. Other duties as assigned by the Division Director.
Pre-Convention Commitment: 1-4 hours per month to coordinate with fan groups.
At-Convention Commitment: 1-2 hours each day to check in with fan groups and monitor fan table activities.

 


EVENT SERVICES DIVISION

 

Play Zone Staff (kids/family programming)

Assist Department Manager to operate Play Zone, including, but not limited to the following:

1. Organize and implement Play Zone activities.
2. Other duties as assigned by the Division Director or Department Manager.
Pre-Convention Commitment: 1-4 hours per month for 2-3 months prior to convention and attend pre-convention training meeting.
At-Convention Commitment: Friday through Sunday afternoon, as scheduled.

 


MEMBER SERVICES DIVISION

Marketplace Staff

Assist Department Manager in running Marketplace, including, but not limited to the following:
1. Recruit vendors to fill marketplace room.
2. Lay out marketplace and mark out vendor spaces in room.
3. Maintain inventory and sales logs for merchandise.
4. Complete training for cash handling.
5. Other duties as assigned by the Division Director and Department Manager.
Pre-Convention Commitment: Attend pre-convention meeting.
At-Convention Commitment: Thursday night through Sunday afternoon, as scheduled.

 

Registration Staff

Assist Department Manager in running Marketplace, including, but not limited to the following:

1. Assist attendees with on-site registration.
2. Produce badges.
3. Complete training for cash handling.
4. Other duties as assigned by the Division Director and Department Manager.
Pre-Convention Commitment: Attend pre-convention meeting.
At-Convention Commitment: Friday morning through Sunday afternoon, as scheduled.

 


CONVENTION SERVICES DIVISION

ConOps Staff

Assist Department Manager to run ConOps, including, but not limited to the following:

1. Maintain staff list and forms.
2. Hand out staff badges, staff shirts, discount cards, and welcome packets.
3. Provide training on procedures and policies at pre-convention meeting.
4. Monitor radio base station.
5. Manage lost and found and turn over inventory sheet and items to Director of Convention Services at close of event.
6. Respond to emergencies and incidents in accordance with convention policies. Document all incidents and provide documentation to Director of Convention Services at close of event.
7. Other duties as assigned by the Division Director or Department Manager.

Pre-Convention Commitment: Attend pre-convention meeting.

At-Convention Commitment: Thursday through Sunday as scheduled.

 


FINANCIAL SERVICES DIVISION

Vault Staff

Assist Department Manager to with vault duties, including, but not limited to the following:

1. Check cashiers in and out and reconcile cash drawers.
2. Provide daily reports of income and final report at the end of the convention.
3. Provide cashier services for single events, such as gaming tournaments, charity events, or workshops, as needed.
4. Other duties as assigned by the Division Director or Department Manager.
Pre-Convention Commitment: Attend pre-convention training meeting.
At-Convention Commitment: Thursday evening through Sunday evening, as scheduled.
